Terms & Conditions

  • “Client” refers to the person/company who has paid the deposit for the Van or the couple/group/individual making use of the Van on a particular day.
  • By paying the 50% deposit you agree to the terms and conditions mentioned below.
  • Rates are subject to change without notice.
  • Rates are based on Van choice, distance to travel and hours required.  Each event will be considered and quoted for individually, based on the information received from the client.
  • Any additional props and/or any extras required may be charged for accordingly.
  • A discretionary discount is offered on any additional Vans hired for the same event.
  • We will always try and equal or better any written quotation(s) received in writing.
  • Vintage Van is not a taxi service, we provide Vintage Vans for adverts, film, functions, events etc.  Our Vintage Van fee includes: a dedicated driver/chauffeur and fuel.
  • A maximum of 6 people is allowed to travel in the Van, 4 or less is what is preferred.  Note that this includes children of any age and size, photographers and any other parties involved.
  • No other persons are allowed to drive any of our Vans at any stage.  If driving or moving scenes are required (for film or advertisements for instance), alternative arrangements (i.e. the use of a production trailer etc.) will be made with Vintage Van and Vintage Van will confirm or decline these arrangements in writing.
  • Our time calculation always starts from when the Van arrives at its first location.  The Van will leave strictly when the booked time has expired.  If the Van is delayed from leaving for any reason – additional hours will be charged for at the current hourly rate for that particular Van.
  • 50% Deposit is required to secure a booking with the balance payable 7 days prior to the event.
  • An additional cancellation fee of R1’000 will be charged per vehicle should a booking be cancelled within 14 days of the booked date.
  • A booking is only secured when the 50% deposit reflects in our bank account.  If two or more clients are trying to book a Van for the same date, the first deposit to reflect in our bank account will have secured the Van, the second (third etc.) will be refunded.
  • If the outstanding balance is not paid at least 48 hours before the booking, Vintage Van reserves the right not to leave our premises unless the balance is paid and proof has been sent to us in writing.  If no communication is received in this regard, a cancellation fee will be charged and the deposit will not be refunded.
  • Vintage Van reserves the right to change Vans should any mechanical or other circumstances dictate.
  • It is the clients’ responsibility to inform Vintage Van in writing if any of the road, driveway or paved surfaces are not in perfect condition.  If the client has not informed us about these unsatisfactory surfaces, we reserve the right not to drive on any surface that we feel could damage our vehicles in any way.
  • Viewing of our Vans can be set up by appointment before a deposit is paid.  If a client pays a deposit on a vehicle without viewing the Van first, they accept the condition, size, colour etc. of the Van and will not be refunded if they change their mind on the Van after the deposit has been paid.
  • A vehicle may be swapped with any of our other Vans (if available) – any difference in price needs to be paid by the client accordingly.
  • Vintage Van may use any photos taken of their Vans with the client(s) / model(s) / actor(s) etc. for social media, website and marketing purposes unless asked not to by the client in writing.
  • A matric farewell / dance booking is offered at a reduced rate, therefore we will only allow one pick up and one drop off. Any additional stops will be charged for accordingly based on distance and/or time.
  • No alcohol will be served to any school / matric learners / scholars in our Vans, unless we receive in writing from their parents that the minors are over the age of 18 years.
  • Client(s) are not allowed, under any circumstances, to bring their own alcohol along for consumption in the Van(s).  The driver / chauffeur has full authority to ask these persons to stay behind (i.e. will not allow them to get into the Van) if under the influence of any substances or if their behaviour is offensive or aggressive.
  • Any damage caused to our vehicles or private property, unless caused by an employee of Vintage Van, will be billed to the client or company who booked the Van from Vintage Van.
  • Please keep in mind that although all our classic Vans are well maintained, these Vans are approximately 50 years old.  They cannot be compared to modern vehicles.  They drive slower, have no air-conditioning or heaters, take longer to go up hills and are not soundproof.
  • Vintage Van maintains our Vans regularly and we try to keep them in top mechanical condition, however; should there for some reason be a breakdown, Vintage Van will provide a substitute vehicle as soon as possible.  If the client does not want a substitute vehicle, then Vintage Van will offer the client a full refund.  Vintage Van cannot be held liable for any loss due to mechanical or other circumstances that were out of our control.
  • Vintage Van drivers are all equipped with a GPS, however sometimes we simply can not find a house or location even with the GPS.  Should a driver/chauffeur get lost, contact will be made with the client(s) for directions and assistance.  If the client(s) can not be reached (for whatever reason), the driver/chauffeur will attempt contacting them for 45 minutes.  If after this time – no contact has been made, Vintage Van reserves the right to leave and charge a cancellation fee.
  • Save as is provided for in law and provided that there was no negligence on our part, Vintage Van shall not be liable for any damage and/or injury and/or death arising out of any defect in and/or mechanical failure of the Van / vehicle, or any apparel or equipment therein, nor for any loss or damages to any property transported in or left in the Van / vehicle, nor for any damages, injury, death, consequential loss, loss of profits, or any other damages which the client(s) or any person transported in the vehicle or any other person may suffer arising out of this agreement.
  • You indemnify us in full in this regard.
